Custom Facial Moisturizer Formulation 

SERVICE OVERVIEW

The development of one (1) custom facial moisturizer formulated with one (1) revision cycle at no additional charge. The formula will be developed with a "clean beauty" profile and will be completely fragrance-free as requested.

Base Ingredients:

• Glycerin
• Propandiol and other Humectants (optimized based on the formula)
• Olive Squalane
• Hyaluronic Acid (3 molecular weights: 2M Da, 100-200K Da, 80-110K Da)
• Niacinamide 2.5%
• Caprylic/Capric Triglycerides (coconut oil-derived) 
• Required Essential oils for scent profile

Physical Sample Production (Client Approval Phase) $25

• A 100g Sample will be provided to you for evaluation of texture, feel, scent, and performance
• Initial quality control testing: pH, viscosity, appearance, odor, along with sterile packaging with basic label (ingredients, batch number, manufacturing date). 

Final Sample production (After Client Approval) No charge for first revision

• Once the texture, scent profile, and overall feel and performance of the product are approved, you will receive a 100g Final Sample moisturizer manufactured under controlled laboratory conditions and sterile packaging with a basic label (ingredients, batch number, manufacturing date), along with the following test results and documentations: 
• Quality control testing: pH, viscosity, appearance, odor, Documentation Package (Certificate of Analysis, Fact Sheet, Safety Data Sheet, In-House Preservative Efficacy Screening (14-Day Protocol), and accelerated stability testing (2-4 weeks)

In-House Accelerated Stability Testing Results (4-Week Protocol) $40

• High temperature stability and Freeze-thaw cycling (3 cycles)

• Challenge organism - 1% contaminated challenge test

• Dilutions plated - 1:10 and 1:100
• Colony counts - recorded at each time point
• Log reduction calculation - Day 0 to Day 14
• Pass/fail determination - 99% reduction (2 log)

REVISION PROCESS

• First Revision is included free of charge
• Formula adjustments based on your feedback
• New 100g sample produced for your evaluation
• Note: Testing (PET and stability) is performed only after you approve the final texture and scent
• Additional Revisions: $20-$40 per revision (depending on material cost)
• Each additional revision includes formula adjustments and a new 100g sample
• Testing and final documentation are only provided on the final approved version
  

Final Testing

Once you approve of the texture, scent profile, and overall feel and efficacy of the product, all testing mentioned above and consequent documentation will be provided based on the length of testing procedures. 

Total Package Cost for the Moisturizer:

Formulation Development $255 +  (1) Physical Sample Production (Client Approval Phase) $25 + (1) Final Sample Production (After Client Approval) $0 for first revision + Documentation package for the final sample $65 + In-House Accelerated Stability Testing  for the final sample (4-Week Protocol) $40 + In-House PET Testing for the final sample (14-Day Protocol) $95 = $480 

Pricing for Bulk purchasing of the Moisturizer: $15.50 per 100 g of product or $7.50 per 50 g of product, given the bottles are provided by the client and the minimum order quantity is 50 units. 

LEGAL DISCLAIMERS & ACKNOWLEDGMENTS

Regarding In-House Testing

The microbial and stability testing provided are in-house screening protocols conducted in a non-accredited laboratory setting. They are intended for product development and safety substantiation only, and are not a substitute for accredited testing (USP <51>, ISO 11930, ISO 17025) required for regulatory submissions (EU/UK PIFs) or major retailers (Amazon, Sephora, etc.). Accredited testing is recommended before commercial distribution.

Regarding Product Responsibility

The formulation and testing reflect product condition at the time of manufacture. Once samples leave The Vegan Potionry, we are not responsible for Contamination, degradation, or misuse, Adverse reactions from improper storage, handling, or use, Modifications, additions, or tampering after receipt, or claims arising from your distribution or end-user use. You assume full responsibility for finished product safety, regulatory compliance (MoCRA), labeling, and any required accredited testing.

Regarding Intellectual Property

Upon full payment, the formula is owned by you for commercial use. Formulation methods, techniques, and expertise remain the intellectual property of The Vegan Potionry.

Limitation of Liability

The Vegan Potionry warrants that the product was manufactured and tested in good faith under controlled conditions at the time of production. We are not liable for any claims, damages, or injuries arising after the product leaves our possession. You agree to indemnify and hold The Vegan Potionry harmless from any such claims

Transfer of Responsibility

Once the product samples or orders leave the premises of The Vegan Potionry and are received by you, the client, full responsibility for the product transfers to you. This includes, but is not limited to: Proper storage conditions (temperature, light, humidity), Handling and dispensing practices, Prevention of contamination during use, Any modifications, additions, or alterations made to the product after receipt, Packaging integrity and container cleanliness, and End-user application and usage. You assume full responsibility for the product once it is in your possession, including any liability arising from use of the product by your employees, contractors, or end consumers. The Vegan Potionry is not responsible for any claims, damages, or injuries resulting from the client's use or distribution of the product.

Client Approval Acknowledgment Needed

By providing final approval of the formula, texture, scent, and overall performance of the product sample, the client acknowledges that the product meets their expectations and specifications. The Vegan Potionry relies on this approval as confirmation that the product is satisfactory for your intended use.

By providing final approval of the product sample, I confirm it meets my expectations. I understand that once the product leaves the formulator and The Vegan Potionry's premises, full responsibility transfers to me. This includes proper storage, handling, prevention of contamination, and any modifications I make after receipt. The Vegan Potionry and its formulators are not liable for any issues arising from my handling, storage, misuse, or distribution of the product, nor for any adverse reactions experienced by my customers or me. I agree to indemnify and hold the formulator harmless from any claims related to the product after it has left their control.
